This Privacy Policy explains how Cupertino Sports and Education Inc., doing business as Cupertino FC (“Cupertino FC,” “we,” “us,” or “our”), collects, uses, shares, and protects information through our website at cupertinofc.org (the “Site”). We are a 501(c)(3) nonprofit youth soccer organization based in Cupertino, California.

By using the Site or submitting information through any form on the Site, you agree to the practices described in this Privacy Policy.

Information We Collect

We collect information in two ways: information you provide directly through forms, and information collected automatically when you visit the Site.

Information You Provide

We operate several forms on the Site, each of which collects different categories of information:

Competitive Team Registration Form. Player information (legal name, date of birth, gender, team, school, position, prior experience), parent/guardian information (name, email, phone, address), emergency contact information, medical information (insurance, physician, conditions, allergies, medications), registration details (registration type, payment method, fee calculations), and waiver and agreement acknowledgments (including California SCA information, Concussion information, US Club Soccer Form R002, Code of Conduct, and Enrollment Policy).

Tryout Registration Form. Player information (name, date of birth, gender, current club, soccer level), parent/guardian contact information, emergency contacts, medical information, how you heard about us, and waiver acknowledgments.

Adaptive Soccer Player Registration Form. Player information (name, date of birth, gender), parent/guardian contact information, and optional information about the player’s needs, sensory sensitivities, or communication preferences to help us provide the best experience.

Adaptive Soccer Volunteer Registration Form. Volunteer name, age, email, phone, school (if applicable), availability and any experience working with individuals with special needs.

Email List / Notification Signup. Name, email address, child’s birth year, and programs of interest.

Contact Form. Name, email address, phone number (optional), and message content.

Certain forms also contain embedded agreements and waivers — including participation agreements, photo and media releases, enrollment policies, and codes of conduct. When you submit these forms, your acknowledgment of those agreements is recorded and retained as part of your registration record.

Information Collected Automatically

When you visit the Site, certain information is collected automatically through cookies and similar technologies:

Google Analytics 4 (GA4). We use GA4 to understand how visitors use the Site, including pages visited, time on site, and general geographic region. GA4 uses cookies to collect this information. Analytics data is aggregated and is not used by us to personally identify you. Google may process this data in accordance with Google’s Privacy Policy. You can opt out of Google Analytics by installing the Google Analytics Opt-Out Browser Add-on.

Cookies and Similar Technologies. The Site uses cookies for analytics (Google Analytics), security (Wordfence), caching and performance (LiteSpeed Cache), and basic site functionality (WordPress). These cookies do not collect personal information for advertising purposes.

How We Use Your Information

We use the information we collect for the following purposes: responding to inquiries submitted through the contact form; communicating updates to our Family Handbook policies; processing tryout requests and scheduling evaluations; registering players for competitive teams, camps, recreational programs, and Adaptive Soccer; communicating with parents and guardians about programs, schedules, and club activities; relaying schedule changes, weather cancellations, and safety notices to parents and guardians; registering players with affiliated leagues and organizations (see “Information Sharing” below); matching Adaptive Soccer players with volunteer buddies; coordinating volunteer training and scheduling; sending email notifications you have opted into; improving the Site and understanding how it is used; and complying with legal obligations, including California youth sports safety requirements.

Information Sharing

We do not sell personal information. We do not share personal information for advertising or cross-context behavioral advertising purposes.

We share personal information in the following limited circumstances:

League and Governing Body Registration. To register players for league play, we share player and parent information with CalNorth, NorCal Premier, US Club Soccer, and GotSport (league management platform) as required for player passes, insurance, and league compliance.

Third-Party Service Providers. We use the following third-party services in connection with our programs. When you interact with these platforms, you are subject to their respective privacy policies:

Legal Requirements. We may disclose information if required by law, regulation, legal process, or governmental request, or to protect the rights, safety, or property of Cupertino FC, our participants, or others.

What We Do Not Collect on This Site

We do not collect credit card numbers, bank account numbers, or other financial account information on this Site. Our competitive registration form captures your selected payment method and calculates the fee amount, but actual payment transactions are processed entirely through external platforms (Zelle, check, or PayPal). Camp and recreational payments are processed through Active Network.

Information About Children

Cupertino FC provides youth soccer programs for children ages 3 through 18. Our Site is directed at parents and guardians, not at children. All registration forms on the Site are designed to be completed by a parent or legal guardian, not by the child.

We collect information about minor athletes — including name, date of birth, medical information, and (for Adaptive Soccer) information about a child’s specific needs — solely as provided by a parent or guardian for the purpose of program registration and safe participation.

We do not knowingly collect personal information directly from children under 13 without parental involvement. If we learn that a child under 13 has submitted personal information through the Site without a parent or guardian’s knowledge, we will delete that information promptly. If you believe your child has submitted information directly, please contact us at admin@cupertinofc.org.

Parents and guardians may request to access, review, correct, or delete their child’s personal information at any time by contacting us.

Photo and Video

Certain registration forms include a Photo/Video Release agreement. If you consent to the release, photos and videos of your child taken during Cupertino FC activities may be used on the Site, social media, and promotional materials. You may decline the photo release or withdraw consent at any time by contacting us in writing at admin@cupertinofc.org. We will make reasonable efforts to remove previously published images upon request, though we cannot guarantee removal from third-party platforms.

After the applicable retention period, records are deleted or anonymized unless retention is required by law or for legitimate legal defense purposes.

Your Choices and Rights

You may request access to, correction of, or deletion of your personal information by emailing admin@cupertinofc.org. We will respond within 30 days. Some information must be retained for legal compliance, league requirements, or legitimate record-keeping purposes, and we will explain any such limitations in our response.

You may unsubscribe from email communications at any time by using the unsubscribe link in any email or by contacting us.

California Residents: The CCPA/CPRA generally does not apply to nonprofit organizations. However, we aim to honor reasonable requests to access or delete personal information consistent with this Policy.

CalOPPA Disclosure: This Privacy Policy is posted conspicuously on our Site and is accessible from every page via a link in the footer, in compliance with the California Online Privacy Protection Act.

Do Not Track Signals

Some web browsers transmit “Do Not Track” (DNT) signals. There is currently no industry standard for how websites should respond to DNT signals. Our Site does not currently respond to or alter its practices when it receives a DNT signal from a visitor’s browser. Google Analytics, which we use for site analytics, may collect information about your online activities over time and across different websites. You can opt out of Google Analytics tracking by installing the Google Analytics Opt-Out Browser Add-on available at tools.google.com/dlpage/gaoptout.

Data Security

We use reasonable administrative, technical, and organizational safeguards to protect the information we collect. These include HTTPS encryption across the Site, security monitoring through Wordfence, access controls limiting who can view form submissions, and hosting on a platform (Hostinger) that provides server-level security measures.

No method of electronic transmission or storage is completely secure. While we strive to protect your information, we cannot guarantee absolute security.

Data Breach Notification

In the event of a breach of security affecting your personal information, we will notify affected individuals in accordance with California Civil Code § 1798.82, including within 30 calendar days of discovery as required by law. If the breach affects more than 500 California residents, we will also notify the California Attorney General.

International Visitors

This Site is operated in the United States. If you access it from outside the U.S., you understand that your information may be transferred to and processed in the U.S., where data protection laws may differ from those in your jurisdiction.

Changes to This Policy

We may update this Privacy Policy from time to time. Changes will be posted on this page with a new effective date. We encourage you to review this page periodically. If we make material changes to how we handle personal information, we will make reasonable efforts to notify registered families via email.
