Our Approach
Cupertino FC trains outdoors on public fields in Cupertino. That means weather, air quality, and city field closures are realities we deal with throughout the year. We never cancel sessions lightly — our coaches and families commit significant time and energy to being on the field, and we respect that. But when conditions make it unsafe or impractical to train, we will cancel, and we will communicate that decision as quickly and clearly as possible.
When We Cancel
Cupertino FC may cancel or suspend a training session or activity under any of the following conditions:
Rain and wet fields. Light drizzle does not automatically cancel practice. Heavy rain, standing water, or muddy conditions that create a safety risk will result in cancellation. Coaches have discretion to make a game-time call for light rain.
Lightning. If lightning is observed or thunder is heard, all field activity stops immediately. Play will not resume until at least 30 minutes after the last observed lightning or thunder. If conditions do not clear, the session is cancelled.
Air quality. Sessions are cancelled when the Air Quality Index (AQI) exceeds 150 (the “Unhealthy” threshold on AirNow.gov) at the time of the scheduled session. If the AQI is between 100 and 150 (“Unhealthy for Sensitive Groups”), coaches may shorten or modify the session. We monitor AQI using AirNow.gov readings for the Cupertino/Santa Clara area.
Extreme heat. Sessions may be modified or cancelled when temperatures exceed 100°F. Coaches may shorten sessions, increase water breaks, or move to shaded areas when temperatures are between 90°F and 100°F.
City field closures. Our training fields at Kennedy Middle School, Creekside Park, and Jollyman Park are public facilities managed by the City of Cupertino and the Fremont Union High School District. The city or district may close fields at any time due to maintenance, overwatering, construction, events, or other municipal needs. When we are notified of a closure, we will attempt to relocate to an alternate field. If no suitable alternate is available, the session will be cancelled.
Other unforeseen circumstances. Power outages, public safety events, public health directives, or other extraordinary situations may require cancellation at our discretion.
How You Will Be Notified
Your team’s coach or team manager will communicate cancellations through your team’s regular communication channel (typically WhatsApp or TeamSnap). We aim to notify families at least one hour before the scheduled session whenever possible. For weather events that develop quickly, notification may come with shorter notice.
If you are unsure whether a session is happening, contact your team manager or coach directly. When in doubt, check the weather and AQI yourself — if conditions look questionable, a notification is likely coming.
Coach Discretion
Head coaches have the authority to make real-time decisions about cancelling, shortening, or modifying any session based on conditions at the field. If a coach determines that conditions are unsafe or unproductive after warmups have begun, the session may be ended early. Please trust the coach’s judgment — their first priority is always your child’s safety.
Makeup Sessions
We make every reasonable effort to reschedule sessions lost to cancellations, particularly when multiple sessions in a row are affected. However, field availability, coach schedules, and league calendars do not always allow for makeups, and we cannot guarantee that every cancelled session will be rescheduled.
Our year-round, three-sessions-per-week training schedule for competitive teams is designed with some built-in flexibility. An occasional cancelled session does not materially affect your child’s development over the course of a full season.
Refunds for Cancelled Sessions
Individual cancelled sessions — whether due to weather, AQI, field closures, or other causes — do not result in fee adjustments or partial refunds. Our program fees cover the full season of coaching, training curriculum, league registration, insurance, and field permits, not a per-session rate.
If extraordinary circumstances result in an extended shutdown (multiple consecutive weeks), we will communicate directly with affected families about appropriate accommodations on a case-by-case basis.

Game Cancellations
League games are governed by the rules of the applicable league (NorCal Premier, CalNorth). Game cancellations and reschedules are determined by the league, the referee, and/or the home team, not by Cupertino FC alone. Your team manager will communicate any game cancellations or schedule changes as soon as they are confirmed.
